Privacy Policy

How we collect, use and protect the information you share with us.

This page is a plain-English summary of how Biodimension Technology Private Limited(“Biodimension”, “we”, “our”) collects, uses and safeguards information when you visit https://biodimension.in or otherwise interact with us. The full policy, which is the legally operative document, is available as a PDF. It is published under the Digital Personal Data Protection Act, 2023 and the DPDP Rules, 2025. Where the two differ, the PDF governs.

1. Information we collect

We collect information you provide directly - for example when you submit a contact enquiry, request a sample, apply for a role or subscribe to updates. This may include your name, organisation, role, email address, phone number, and the message or attachments you choose to send.

We also collect limited technical information automatically (such as device, browser, referring URL and aggregated usage) to keep the site secure, debug issues and improve content.

2. How we use information

  • To respond to your enquiry or process your application.
  • To send service or transactional communications you request.
  • To improve our products, services and website experience.
  • To comply with applicable laws, regulations and contractual obligations.

3. Cookies & analytics

We use Google Analytics 4 to understand how visitors use the site (pages viewed, approximate location at city level, device and browser, and interactions such as scrolls, outbound clicks and form submissions). Google Analytics sets first-party cookies (_ga and _ga_*) that persist for up to 13 months. IP addresses are not stored by Google Analytics; they are used transiently to derive approximate location and then discarded. Analytics data is retained for 14 months.

We do not run advertising, and we do not set advertising or retargeting cookies. Analytics is the only optional category, and you can accept or refuse it on its own using the Customise option in the cookie banner.

Where consent is required by law (for example in the EEA, UK and Switzerland), analytics cookies are not set until you accept them via the cookie banner. You can change your choice at any time - . You can also opt out of Google Analytics across all websites via the Google Analytics opt-out browser add-on.

4. Consent

Where you submit personal information to us through a form on this site - the contact form or a job application - we ask for your consent by way of a tick box before you submit, and we record that consent alongside your submission. You may withdraw your consent at any time by writing to itadmin@biodimension.in; withdrawal does not affect anything we did while the consent was in force.

Our website also offers an AI chat assistant, BioD-AI, which we run ourselves. What you type is sent to Google's Vertex AI service to generate a reply, and is stored by us so the assistant can follow the thread of the conversation. If you rate an answer with the thumbs control, we store that rating together with the question and the answer so we can find and fix weak answers. Please do not share sensitive personal information in the chat - use the contact form, or the short enquiry form inside the chat, where your details are handled under the consent process described above.

5. Sharing & third-party providers

We do not sell personal information. We share it only with trusted service providers (e.g. hosting, email delivery) under appropriate confidentiality terms, or when required by law. The providers that may process information you give us, and their own privacy policies, are:

  • Google- website hosting, database and file storage (Firebase), mobile number verification, email delivery, reCAPTCHA and Google Analytics. Google Cloud's Vertex AI service also generates the replies you receive from our chat assistant. Privacy policy
  • Sentry - error monitoring, used to diagnose faults. It is configured not to collect personal information from form submissions. Privacy policy
  • Sanity- the content management system behind this website's pages. It does not receive information you submit through our forms. Privacy policy

6. Retention

We retain information for as long as needed to fulfil the purpose it was collected for, and for any period required by law.

CVs and job applications. A CV you upload is deleted from our storage 90 days after you submit it, and the secure link we send to our hiring team stops working at the same point. We keep the application record itself - your name, email, the role you applied for and the date - as a record of our hiring activity, but not the document. If you would like that record removed too, write to us using the address below.

Chat conversations. What you type into the chat assistant is kept for 30 days so the assistant can follow the thread of your conversation, and is then deleted automatically. If you rate an answer, that rating and the question and answer it relates to are kept for 12 months and then deleted automatically. We do not store your IP address or any other identifier alongside either record.

7. Your rights

Under the DPDP Act you have the right to access a summary of the personal data we hold about you and who we have shared it with; to have it corrected, completed or updated; to have it erased once the purpose it was collected for no longer applies; to withdraw consent at any time; to have a grievance addressed; and to nominate someone to exercise these rights on your behalf if you die or become incapacitated.

To exercise any of these, write to itadmin@biodimension.in. If you are not satisfied with our response, you may escalate to our Grievance Officer below, and after that to the Data Protection Board of India.

8. Children

Our services are not directed at children. We do not knowingly process the personal data of anyone under 18 without the verifiable consent of a parent or lawful guardian. If you are under 18, please do not submit your details through this site. If you believe a child has provided us with personal data, contact us and we will delete it.

9. Data breaches

If a breach affects your personal data, we will notify you without undue delay using the contact details we hold for you, describing what happened, its likely consequences, what we are doing about it and what you can do to protect yourself. We will also inform the Data Protection Board of India, with detailed information furnished within 48 hours or such longer period as the Board permits.

10. Transfers outside India

Some of our service providers operate outside India, so your data may be transferred abroad. Where that happens, the recipient is contractually bound to protect it to the standards required by Indian data protection law, and only the data necessary for the purpose is transferred. We do not transfer personal data to any country or territory that the Central Government has restricted.

11. Grievance Officer

For a formal grievance about how we handle your personal data - including anything relating to a data breach or a cross-border transfer - contact our Grievance Officer. We will acknowledge it and respond within 90 days of receipt.
